Cancellation policy and terms of reservation for direct bookings only. These terms are not valid for group reservations or bookings via travel agencies, online reservations, Booking.com or Hotels.com etc.

Cancellations and modifications must be notified to the sales service by telephone +358 201 476400 or email myyntipalvelu@isosyote.fi.

We recommend our customers to take out the appropriate travel insurance cover against any possible situations and cases of force majeure. The hotel is not obliged to accept cancellations based on a doctor’s certificate or other similar documentation. All prices are including the legally specified VAT.

PAY LATER -rate

• The booking can be canceled free of charge by 12:00 noon on the day of arrival.
• Payment is made at the hotel upon arrival. The PAY LATER price is available only for limited periods during summer and fall.

2. Accommodation booking via webshop

Depending on the season and room type, full payment will be charged either at time of booking or at time of arrival. Payment options with credit card: Visa, MasterCard, Diners Club, JCB or Visa Electron. Online banking options: Nordea, Osuuspankki, Danske Bank, Ålandsbanken, Handelsbanken, S-Pankki, Aktia, Säästöpankki, POP Pankki

3. Bike rental

Terms & conditions

We will do everything to make sure your rental experience is a success and that you will have a great time. In order to ensure that you know exactly what our (and your) responsibilities are, please read the following terms and conditions.

Use of the bicycle

• Please note: Do not leave the bike unattended.
• The renter accepts the bicycle in good condition, and commits himself/herself to return the bike in equally good condition, and to ride the bike respecting the rules and obligations outlined in Finnish laws, as well as committing himself/herself:

1) Not to adjust or manipulate the mechanical parts of the bicycle.

2) To return the bike to Lapland Bike Hotel at the time and date indicated on the contract. A late return will be charged: 20€ penalty + 10€ per hour / e-bikes + 20€ per hour

3) To be responsible for any loss or damage to the equipment which, at all times, remains the exclusive property of Lapland Bike Hotel. In case the equipment is lost, destroyed or damaged beyond repair in the judgement of Lapland Bike Hotel, the renter agrees to pay Lapland Bike Hotel the value to replace the equipment. The replacement charge will be determined by Lapland Bike Hotel and charged at the time of the rental.

• Credit card details will be requested at the bike’s pick-up to cover possible damages.

Charges and deposit payments

• We recommend that you are adequately insured. We cannot be responsible for your own illness or injury or for damage or loss of your personal belongings while on a ride or tour. It is also recommended that this insurance cover you in the event of cancelation of your trip.
• The renter agrees to pay for the rental of the bike and any additional fee that is applicable for any mistreatment of the bicycle. In case a part of the bicycle is broken because of mistreatment, lost or stolen, additional fees will be charged. 

Repairs and maintenance

• In case of a breakdown, don’t abandon the bicycle. If the breakage of the bike is caused by use, it is the renter’s responsibility to return the bike to the rental company. The renter pays for all necessary repairs, including all parts. If the reason is wear on a part of the bike, please contact us so we can arrange another bike to replace it.

Accidents and release of liability

• The client agrees that he/she will release Lapland Bike Hotel from any and all responsibility of liability for injuries or damages to the user of the equipment listed on this form or to any other person. The client accepts for full responsibility for the care of this equipment and thereby agrees to freely and expressly assume and accept any risks and all injury to the user of this equipment while bicycling.

4. Activity booking

General

These terms apply to all activities and weekly programs offered and delivered by Hotel Iso-Syöte in Syöte and its surrounding areas.

Weekly Program Cancellation Terms

• A €50 office fee is always non-refundable.
• You can cancel free of charge (except the office fee) up to 21 days before the program date.
• If you cancel 21 days or fewer before the start, the full price will be charged.
• Hotel Iso-Syöte may cancel the program if fewer than 4 participants register. In that case, you’ll receive a full refund within 14 days.

Group Program Cancellation Terms

• A €50 office fee is always non-refundable.
• You can cancel free of charge (except the office fee) up to 21 days before the program date.
• If you cancel 21 days or fewer before the start, the full price will be charged.

Weekly Program Reservations

Reservations for weekly activities can be made through Hotel Iso-Syöte’s online booking system. Weekly programs are open departures and operated when the minimum number of participants has been reached (4 persons unless otherwise mentioned).

A reservation becomes binding once the customer has paid the activity fee and received a confirmation from Hotel Iso-Syöte. All available payment methods are shown in the online booking system. For bookings made by phone or email, payment instructions or a payment link will be provided. All payments are processed securely via Stripe or Paytrail.

Group Program Reservations

Private group programs (for groups of more than 12 adults) can be reserved by email or phone. Pricing may vary depending on group size.

Programs and Prices

Program descriptions and prices are presented in Hotel Iso-Syöte’s online store and website. All prices include VAT. Programs are subject to weather conditions and may be adjusted when necessary to ensure safety or comfort. Hotel Iso-Syöte may interrupt an activity if a participant is considered a safety risk.

Liability

Hotel Iso-Syöte follows Finnish laws, regulations, and industry standards when providing activity services and takes all reasonable measures to ensure safety.

Liability Insurance

Hotel Iso-Syöte and its subcontractors hold valid liability insurance as required by Finnish law. Customers are strongly encouraged to have personal travel insurance with adequate coverage.

Motor Liability Insurance

All motorized vehicles used in traffic are insured under Finnish Motor Liability Insurance. Compensation for bodily injury and property damage follows Finnish legislation. Compensation is not granted if the injured party caused the incident intentionally or through gross negligence.

Snowmobile Activities

Snowmobiles are insured as required by Finnish law. Participants are financially responsible for damage they cause, up to a €1000 deductible per driver per incident, payable on-site.

Snowmobile drivers must be at least 18 years old and hold a valid driving license recognized in Finland. Driving under the influence of alcohol or drugs is prohibited.

Routes, schedules, and durations may be modified due to weather or safety considerations. Activities may be discontinued if a participant poses a safety risk. In temperatures of –20°C or colder, children may be transported by car for safety reasons.

Other Injuries and Health Considerations

Hotel Iso-Syöte is liable only for injuries or damage caused by negligence or faulty equipment.
Activities may be physically demanding. Participants with health conditions—such as heart or lung illnesses, diabetes, epilepsy, or back/hip issues—or pregnant participants must consult a medical professional before joining any activity. Participation is at each individual’s own risk.

Pregnant Participants

Pregnant individuals should not ride snowmobiles or sledges pulled by snowmobiles due to vibrations and exhaust fumes. If extra arrangements are required, the participant is responsible for any additional costs.

Child Policy

Children aged 0–11 receive reduced rates unless otherwise specified.
The minimum age for snowmobile participation is 5 years unless otherwise specified.
Children ride in sledges pulled by guides; small children must be accompanied by an adult.
Children who can reach the footboard of the snowmobile and support themselves safely (usually over 140 cm) may sit on a snowmobile behind an adult. The safari guide has the final authority to assess each child’s suitability for riding on the snowmobile.
Different prices and rules apply to husky and reindeer activities. Program arrangements may be adjusted for the safety of children.

Service Languages

The primary guiding language is English, unless otherwise agreed.

Animals in Activities

Animals used in reindeer, horse, and husky activities are well-trained, but their behavior cannot be fully guaranteed. Participants must follow all instructions. Routes and schedules may be altered for animal or customer safety.

Force Majeure

Neither party is responsible for delays or losses caused by events beyond reasonable control, such as extreme weather, lack of snow, strikes, or other unforeseeable conditions. Affected parties must notify each other and attempt to minimize delays or disruptions.

Governing Law and Dispute Resolution

These terms are governed by Finnish law. Disputes should first be resolved through negotiation. If no agreement is reached, matters will be settled by the District Court of Oulu.

Payment Providers: Stripe and Paytrail

For webshop payments for activities are processed securely via Stripe.

Stripe supports:

• Major credit and debit cards
• Additional regional payment methods

On card statements, Stripe appears as the payment recipient and transfers funds to Hotel Iso-Syöte.
Stripe follows secure online payment standards.

For reservations made by phone or by email, the payment service provider may in some cases be Paytrail Oyj, in cooperation with Finnish banks and credit institutions. In these cases, Paytrail will appear as the payment recipient on the receipt or card statement and will forward the payment to Hotel Iso-Syöte.
